Job Purpose

The ICT Assistant is responsible for supporting the school with any issues related to IT and audiovisual. Supervise and maintain the IT resources in optimal conditions for their use. Help with the staff training so that they learn the correct use the available resources at schools.

Responsible to:

ICT Director and Help desk administrator.

Key responsibilities and Accountabilities:

Reviewing incidents on the OpenIT system: connecting to the OpenIT application to check if there are new or pending incidents to solve.

Checking emails to control incoming incidents, to check if there are new incidents that, for any reason, users have not registered through OpenIT.

Answering telephone calls regarding different issues and resolve any emergencies or incidents that the user has not sent through OpenIT.

Serving users who need site assistance with technical problems and that, for any reason, have not registered through email, phone call or OpenIt System.

Continuous training of employees informing them how to print, how to create Excel sheets, how to turn on projectors, etc.

Resolution of all kind of users’ doubts.

Explanation of how to work with software to users who require it.

External Data Recovery, local media, etc. due to device failure or incorrect removal by the user.

Users’ email archiving, grouping them by natural year or academic year; making sure that all emails that are in the subfolders are correctly archived and that the good backups are performed, locally and on the server.

Installation of equipment to new employees: installation of equipment, SO and software to those who require it, configuration of Lync, email, printers, network folders, signatures, etc.

Installation of trolleys with 3 notebooks, iPads or Chromebooks in each of them, installing all electrical wiring in the safest and less visible way for students.

Software installation for exams (ePips) in the classrooms/trolleys required by teachers; and subsequent creation of users, results extraction, sending them, etc.

Searching information to solve Software problems.

Searching information to solve Hardware problems.

Auto-learning of new Software and Hardware.

Solving Hardware problems in devices (desktops, laptops, notebooks, iPads, Chromebooks,,) and peripherals (projectors, whiteboards, switches..).

Regular review and maintenance of iPads.

Regular review of trolleys with Notebooks: accounting, electrical charge, operation of the device, etc.

Removing and installing of new equipment during the summer for updating / overhaul.

Installing software on demand or scheduled.

Management of print server and the printers available in the school.

Checking the state of the network printers to check the correct function of these as well as the consumption levels of the printers in the school.

Generating PINS for colour printers taking into account who is printing and what is printed. Then monitoring this.

Toners’ process control since its order until its installed with the tool created for this purpose: toners’ reception, inventory, storage and replacement.

Solving printers’ issues (consumables, reset counters, connectivity, etc).

Revision of the printers’ tracking systems.

Reception of new computers’ supplies. Collecting / storing / installing the material received.

Inventory of all IT park in the centre (computers, monitors, printers, laptops, netbooks, projectors, interactive whiteboards, speakers, iPads, Chromebooks..).

Inventory of all the new devices acquired by the school.

Organization of the material stored in the school.

Equipment’s renewal during the summer period in the school.

Creating images for the software installation, carrying out installation on the computers of all the necessary software, customizing the images depending on the department / course. Then unifying and streamlining the massive equipment installation.

Placing images on new equipment, repaired or pending update equipment, setting-up for production.

Mounting / replacing audiovisual systems (projectors, speakers, etc.).

Preparing and fitting the equipment for the Summer Courses. We are asked for equipment (computers, printers, laptops) for this. So, they need to be formatted, installed and configured.

Mounting and dismounting of classrooms for summer camps, taking into account the requested requirements.

Equipment arrangements for events (leavers). We are usually asked for slide projectors, screens and audio equipment). Regarding Leavers’ Ceremony; projector, screen and audio are installed in the schoolyard.

Dealing with incidents relating to audiovisual events and events in the auditorium. Such as connection of laptops and systems to the projectors.

Assisting with new audiovisual and network projects. Informing the centre about new providers and the required necessities.

Making of the equipment, hardware and software annual provision for the centre.

Invoices’ review.

Ordering material.

Supervision of the interactive whiteboards installation in the schools, and their subsequent configuration, calibration, framed, alignment, etc.

Making protocols to follow common standards in the centre.

Writing handbooks for users.

Documentation of the fiber installation, network, etc. and keep it updated.

Research of Software that can make it easier daily management and IT support.

Analyze and anticipate the needs that can arise in the centre.

Inventory and backup of all the required software.

Training new employees.

Organization and distribution of work during the set-up of the new academic year.

Intervention in the improvement actions carried out in the centre to indicate the IT requirements (new buildings, new classrooms, etc.).

Making of Loan Documents

Supervision of works to improve IT made by external companies.

Preparation, review and improvement of work processes to make them easier and more efficient.

New wiring installations and / or setback of the existing wiring (LAN, fiber, audio, video, electrical).

Wiring organization in the classrooms to meet security measures.

Set up of iPads focused on eLearning: from unboxing the material, inventory, configuration, associated accounts creation, installation of Apps, mounting in trolleys, etc; not only for iPads intended for trolleys but also for the teachers.

Set up of Chromebooks focused on eLearning: from unboxing the material, inventory, configuration, associated accounts creation, installation of Apps, mounting in trolleys, etc; not only for Chromebooks intended for trolleys but also for the teachers.

Meraki management for the right functioning of iPads: networking configuration tags, permits, restrictions, assigning apps, users’ control associated to iPad, etc.

Google Apps, creating users, resetting passwords, device control, filters, organizations, etc.

eLearning assistance

Emergency interventions. Making network wires, media boxes repair of interactive whiteboards, replacement of damaged parts.

Review and maintenance of the racks of the centre, both the master and the slaves.

Special Requirements:

Genuine passion for ICT and education.

Medium Level Professional Training Course (II) Microcomputers Systems and Networks Technician.

Superior knowledge of Microsoft Windows and Office.

Networking basic knowledge

Superior knowledge of repairs and hardware maintenance.

High knowledge of software installation.

Fluency in English.
